Privacy Policy

ElevAsian All-Star Showcase is a nonprofit society registered in British Columbia (S0085130). This policy explains what we collect when a parent or guardian registers a child for our youth camp, why we collect it, and what we do with it.

British Columbia's Personal Information Protection Act (PIPA) sets the rules we follow. If anything here is unclear, email us at elevasianallstargame@gmail.com.

What we collect

When you register a child for youth camp, we ask for:

  • your child's name, age, and school
  • their T-shirt size
  • your email address
  • an emergency contact's name and phone number
  • whether your child can appear in photos and video
  • confirmation that you're the child's parent or legal guardian

We ask only for what we need to run the camp. Camp is free, so we never ask for payment details, and we don't ask for health information.

How we use it

  • To run the camp: checking campers in, grouping them by age, and having the right T-shirt ready.
  • To email you about the camp: your confirmation, and any change to the date, time, or location.
  • To reach someone quickly if there's an emergency at camp.
  • To see which schools the camp reaches. We may share totals with funders and sponsors, like the number of campers or schools, but never names.

We'll only email you about this camp. We won't add you to a mailing list.

Photos and video

We're making a documentary series around the showcase with TELUS StoryHive and Local Lens Media, and the youth camp will be filmed. We also take photos for our Instagram and www.ElevAsian.ca.

If you say yes, photos and video of your child from camp may appear in the documentary, which will be released on streaming platforms, on our social media and website, and in materials about ElevAsian, like posters and sponsor reports. We won't publish your child's last name or school next to their image without asking you first.

If you say no, your child is still welcome at camp. We'll tell our photographers and film crew, and we won't knowingly publish photos or video where your child can be recognized.

You can change your answer at any time by emailing elevasianallstargame@gmail.com. If you take back your permission, we'll stop using your child's image in anything new and take down our own posts that show them. We may not be able to remove footage from documentary episodes that are already finished or released.

Who sees it

  • ElevAsian organizers, who manage registrations.
  • Coaches and volunteers on camp day, who use the check-in list with names, ages, T-shirt sizes, and emergency contacts.
  • Emergency services, if a camper needs help.
  • Our documentary partners, but only to know which campers should stay out of photos and video. We don't give them your contact details.
  • Google, which stores our registration spreadsheet and sends confirmation emails from our Gmail account, and Vercel, which hosts this website.

We don't sell or rent personal information, and we don't share it with sponsors.

Where it's stored

Registrations go into a private Google Sheet that only ElevAsian organizers can open. Google may store this data on servers outside Canada, including in the United States. This website sends your registration over an encrypted connection.

How long we keep it

We delete camp registration details by December 31, 2026. After that we keep only totals that don't identify anyone, like how many campers came.

We keep your photo and video answer, with your child's name, for as long as we use photos or video from camp, so we can show we had permission.

Your choices

Email elevasianallstargame@gmail.com to:

  • see the information we have about you or your child
  • correct something that's wrong
  • change your photo and video answer
  • cancel your registration, or ask us to delete your details

We'll reply within 30 days.

This website

www.ElevAsian.ca doesn't use cookies, ads, or tracking tools. Our host, Vercel, keeps basic server logs, such as IP addresses, to keep the site running and secure.

Changes to this policy

If we change this policy, we'll update the date at the top of this page. If a change affects how we use information you've already given us, we'll email you first.
